PEI RoadRunner Executive meeting
Thursday October 26, 2017

Present: Janet Bain, Stan Chaisson, Maureen Peters, Pat Ellis, Barb DesRoches, Cheri Gallant
Janet called the meeting to order, seconded by Stan.
Cheri moved to approve the agenda, seconded by Maureen.
Janet moved to accept the minutes from the previous meeting as written, seconded by Cheri.
The president’s report was presented by Janet.
New Business:
The website requires some attention. Barb offered to take the lead on recruiting some volunteers to
help with this project. She will approach some Prince County members that she knows have IT
experience as a start. Access to edit the website can be granted by sending a request for access via the
website.
The Club Direction was discussed after the hectic year that Janet put in trying to support all of the
sanctioned events. This has been an ongoing situation where there are more events that need support
than volunteers to support them. Not everyone is willing to do what Janet has been doing and she has
advised she needs to pull back as she can’t do it all anymore. Pat moved that PEI RoadRunners only
sanction the points races to reduce the workload for the club. Janet seconded the motion. There was a
discussion held and Stan advised that the membership needs to be advised about the changes and the
Race Directors need to be advised as well. Pat suggested that there be a cap on how many sanctioned
races there should be per year. For now we will sanction the current 25 points races at 22 events and
this will be reviewed by the executive on a yearly basis. The motion passed unanimously. The
communication will happen at the regular November meeting and members and race directors will be
encouraged to attend to discuss the change and hear about options regarding event insurance and
equipment rental that race directors might be interested in. Cheri offered to create a FB event for the
next meeting. The FB event could be promoted as: Changes have been made by the PEI RoadRunners
Club executive to the sanctioning process for the 2018 race schedule. These changes will be presented to
members and race directors at the next meeting on November 23, 2017. Members and race directors
are encouraged to attend to learn more about these changes.
As part of the discussion on Club Direction, Stan will tap into his school’s Leadership class to create a
tutorial on how to use the registration and results on the database. The tutorial will be saved to the
website, FB, UTube etc., so race directors and volunteers can learn how to do this process.
The Christmas party was discussed. Tentative dates are Dec 2, 9, or 16 at the Charlottetown Armouries.
Barb will reach out to Donnie and Bev Walsh about the facility availability. Pat, Maureen, Stan, and Barb
offered to work on the party details and Jenn Duncan may be recruited to help as well. There will be the
usual 5K run and a cake to celebrate the 40 th Anniversary
