Minutes, June 1^st, 2016

• Janet called the meeting to order.

• Approval of the agenda was moved by Janet and seconded by Maureen.

Notes from the President’s report:

• Members have Accidental Death and Dismemberment (Accident) insurance and Liability but Day Members have liability insurance only.

• For out of province rooms at races, tell the reservation desk that you are with Sport PEI and you will get a discount.

• Jenn will send thank you cards to our bib sponsor, Honda and also to Proudes.

• We are interested in a Finish arch. We will ask if we can get it donated. Maybe use it for the point’s races. Janet will talk to Miguel about this.

• A meeting will be set up with the Dept. of Highways about races. As of now, night must end by 7:00.

• A suggestion was made that race directors should attend the Run for L.I.F.E. race as it is a well-organized race.

• Race directors need to know if you are dropping out of a race. Kids should also be at the back of the racing pack with the walkers.

Paul made a motion to approve the President’s report. Jenn seconded.

Jenn made a motion that Minutes from previous meeting be read online. Paul seconded. Executive is to bring any comments regarding the minutes to the next meeting.

Financial Report:

• May Revenue - $709.00

• May Expenses - $2027.12 (major expense is insurance @ $1132.50)

• YTD Revenue - $5694.00

• YTD Expenses - $4533.46

• YTD Balance - $1160.54

• We need to know exactly what we spend. We have to be cautious.

• Invoices were sent to 64 Race Directors.

• Janet and Pat are looking into etransfers.

• Janet made a motion to approve the Financial Report. Jenn seconded.

Other Business:

• Square up with Athletics PEI - $138.00 in 2015 Plus $23.00 in 2016

• Paul will give hats and decals to Sue regarding last years College of Piping Run.

• Extension of the Bursary was for June 15^th.

• A Prince County Rep. – John Bowser??

• Social Media – We will tweet about running in general. Jenn made a motion that we should change the description of the twitter account…”PEI Running News#For the Love of Running!” Pat seconded.

• Races not yet on the schedule-Twin shores, Points East Lighthouse, Walk/Run for Kristen Cameron Trust Fund, Rendez-vous Rustico Duathlon for Adults and Youth, Boardwalk Boogie Run (may not happen), Cox & Palmer Run/Walk, Mount Edward Grocery Memorial Run (approximately same time as usual) Gold Cup Trot (will be going on the calendar), Stratford Rotary run for Mikinduri, Vernon River School Fall Run Run, Wally Rodd Memorial Run

• There are 264 members, 56 rookies (bibs are 24 c plus tax and shipping.

• Stan will test out Tara Costello’s new app before our next meeting so that he can give us feedback.

• Paul will look at companies about singlets for the club. He’ll get volume cost, and colors for approximately 20 singlets.

Next meeting will be July 6^th at 6:30pm.
