Minutes of the April 27th, 2016 Meeting

The meeting was called to order at 6:15 pm by Janet Normain-Bain.
Present at the meeting were Janet Norman-Bain, Ewen Stewart, Cheri Gallant, Jenn Duncan, Andy Walker (Athletics PEI), Paul McGuire, Pat Ellis, Stan Chaisson, Heather MacCauley, and Pam Paquet.

Paul approved the agenda and Stan seconded.

Minutes of previous meeting:
Jenn made a motion for our previous meeting minutes be approved, Paul seconded.
In the previous minutes an error was made regarding Insurance update: Should have read…The fees hadn’t been paid since 2012 but they are now paid. Non-profit forms have not been filed since 2012 but now have been filed.

Stan makes a motion to pass the financial report, Jenn seconded.
President’s report:
Janet will post her report. A few notes, however:

The Government was contacted and we no longer need to file our new Constitution, as it was bylaws we change. This would have cost $265.00. A letter will be sent with the names of the new executive. Year end will be March 31st.

A Race Booklet will be active next race season. This will hopefully get the Race Directors on board to post their race early.

New mileage markers have been made: We have 1 set of 1-21 plus 3 blank ones. The cost was $45.00

APEI, and apparently all Provincial Athletics under AC are offering fee memberships to refugees, Syrian or otherwise. Andy will also mention that Roadrunners be included.

Janet proposed that we switch insurance coverage to Athletics PEI/AC coverage: 900+200(for executive)=1100…this would be a different policy…joint membership can happen between APEI and Roadrunner if a runner wants to run nationally. Jenn made a motion that we change the policy, Janet seconds.
Other business:

Square up with Athletics PEI - $138 (2015) + $23 (2016)…first cheque to be written.

Paul will contact Sue regarding what she would like (College of Piping Run).

Sport PEI AGM – Accreditation Form and Attachments…Jenn will get this together.

For now, Janet has all the equipment, until we have a better solution.

Bursary: 2-$200 bursaries will be handed out. A motion was made by Heather, Cheri seconded. Deadline will be on May 31st. Heather will work on revising the PDF file.

Check out our website for the Committees. Volunteers are always needed for our various committees.

We are still looking for Prince County Reps…Calvin DesRoches and Sue MacGivern were mentioned. It was suggested that we put this out to the membership…2 or 3 names and then the Executive votes
Our next meeting will be June 1st.
