July 24, 2014- Minutes RoadRunner Executive

Attending: Mike Connolly, Janet Bain, Bethany Lucas, Jennifer Duncan, Natalie Dallaire, Suzanne Iwankow.

6:00 pm –Mike called the meeting to order. Welcome and a look at previous minutes from June 19.

President’s report-

- In contact with Athletics Canada- RR becoming part of Athletics Canada. Mike will continue to debrief with Athletics Canada reps Andy Walker and James Franco.

- Canadian Athletics Canada National Races are possible for PEI Runners. Stan Chaisson and Jennifer Nicholson are representing PEI at National 5K in Sept. 2014 as an example.

- There are Canadian Classic races which represent runners 40 plus as well.

- With joining Athletics Canada, we have the opportunity to have provincial road race championship races to help runners qualify for national events.

- Cost for membership with Athletics PEI will be 20 dollars approx. as well as regular membership fees for PEIRoadrunners.

- Looking at a 5K in July and a 10K in August 2015 as qualifying events for next year’s race schedule.

- Sanctioning document were sent to the executive from James Franco that were sent to Mike C.; NB , NS, BC are provinces that have developed race sanctioning. This initiative will give RR events a way to be evaluated and leveled for 2015.

- Membership numbers: 359 members in total including honorary members

Treasurer’s Report – Suzanne I.

Statement reviewed as of July, 2014

- balance is $ 5200

- after items to be paid for and regular costs- we should have $3500 left at the end of the year.

- Will need new signs and poles for 2015

- IT support for Janet: Kirk O’Leary trying to get the two systems working together for database and race data to match up. Janet will meet with Kirk to continue this work.

- Microsoft Access was purchased for RR club in the past but not found and no password has been given to Janet for the website to date.

New Business:

- sanctioning documents to read and give Mike follow up or suggestions.

- idea brought forward to have a fundraiser for athletes going to National Races by choosing a 5 or 10K course to fundraise to help our RR members that want to run nationally. Motion was made that RR organize for 5K and 10K provincial championship and Timex series together to raise money to send athletes to national championships. Moved by Janet B. seconded by Suzanne I. All were in favor of the motion- carried.

Date of August 23rd is open for 2015 if RR want to use it for this initiative.

- Review of checklist for race evaluations; especially points races- races to date were evaluated

-Bursaries – Megan Walsh, and Brittan Turner were voted as winners or 300 dollar Bursaries this year.

Cheques and letter to be sent by Bethany and Suzanne and winners to be called. Photo to be done at a later date at Sport PEI with Mike and Bethany.
