Nov 4th, 2015-Minutes RoadRunner Executive
Attending: Paul Wright, Heather MacCulay, Ivan Gallant, Nancy Morris, Bethany Lucas, Mike Connolly, Stan Chaisson, Pam Paquet
Meeting called to order at 6:10 by Bethany, seconded by Paul
President’s Report:
-Hat sales/stickers, order bibs/pins, equipment for races, day of race attendance, and sponsors all need to go ahead; may need a committee for each section
-Kent Mill is in charge of website and giving race reminders
-Do we need staffing or does everyone take on a roll for each of the areas mentioned above?
-Membership is down to 221 from 384; really no money to pay for staff
-Runs from 2015 still haven’t paid yet
Treasurer’s Report: A balance of $808.91 as of Sept. 2015 --- There are many hats and stickers to be sold.
-Moved by Ivan and seconded by Bethany
New Business:
-Although the fee structure was approved, it may need to be amend
-The sanctioning document needs to be filled out for insurance purposes; race directors only pay if they need our services (gear, bibs, clock, etc.)?
-Runners want a full calendar for race reminders
-We may have been catering to the organizers instead of our membership
-Two presentations will be made at the end of the month to our members; discussing the proposal and our/their wishes (one in Summerside, one in Charlottetown)---Credit Union Place on Nov 23rd and Sport PE on Nov 26th (?)
-It was discussed that a moderator will attend the sessions (possibly Kim Bailey and Gemma Koughan)
-A motion to open up the meeting the former and current members only. Moved by
Bethany and seconded by Ivan
-Included in the letter that was written by Alex Cyr; feedback and direction only
-There will be a special meeting held in January, 2016 for the upcoming race season.
-Janet has computer and IPad still at home.
-Christmas Party to be held Dec. 19th party afterwards
Miguel: (PR and Communication/Minutes on Website):
Miguel made a presentation on how improvements can be made on our website. What do we want or need? Following are a few of the highlights from his presentation.
OPTION ONE
-Race directors can create their race on the website
-Everyone can register for the race online
-Memberships can be paid online
-Race points could be calculated online but this may have to be more custom made
OPTION TWO
-Whole new website to create so that we may control it ourselves
-Race directors can create their own event using “My events”, changes can be made al the time
-A central bank can be created from the administrator to see who registers then the bib, etc. can be mailed out to the member
Both options are an investment!!
Our Message:
-The sanctioning document stays; race directors are happy; police are happy; promotes safety!
-Do we sanction everyone?
-The RoadRunner’s Club should not have two races on the same day. First come, first serve. We are going to try to avoid duplicate races!
-Are current points races protected?
-Other races can be protected if they run smoothly after 3 years.
