February 9, 2015- Minutes RoadRunner Executive

6:00 pm –Mike called the meeting to order. Welcome and a look at previous minutes from Nov.13

President’s report-

- Canadian Athletics Canada National Races will be mentioned on the calendar for PEIRoadrunners and posted on the website and Facebook page.

- Cost for membership with Athletics PEI as well as regular membership fees for PEIRoadrunners have been developed. Runners have an option to join both or just join PEI RRunners ( 20 dollars for indiv.; 30 dollars for family) Adjustments have been made to the fee structure for 2015. Any

member that wants be in the national database must have a dual membership. Rankings are given nationally for those that have athletics Canada memberships. If chosen to compete, member must have Athletics PEI membership.

- Still Looking at a 5K in June and a 10K in August 2015 as qualifying events for this year’s nationals. Top 20 from PEI under the qualifying times are eligible for these national events.

- Race clock was damaged this fall, still not fixed.

- Membership numbers: still approx. 360 members in total including honorary members. New memberships are coming in for 2015.

- First race is on Feb. 22, 2015-02-15

- New Run June 21 in Lennox Island as part of the Micheal Thomas foundation.

- Joanne Reid is looking at adding a doctor’s ‘tip to tip’ trail run for fundraiser for hospital.

Treasurer’s Report – Suzanne I.

Statement reviewed as of January, 2015:

- balance is $ 1,311.36. Christmas party (cost: $ 519.24) not included and hat money not put in yet. Adjustments being made for next meeting. Thanks to Suzanne!

New Business:

- Sanctioning document has been developed. Stan Chaisson shared the draft at the meeting. This initiative will give all RR events a way to be evaluated and leveled for 2015. Items such as pre-race considerations, timing, measuring, post-race considerations, age requirements, expenses, revenues, start times, publicity, police and transportation dept. etc. were all shared and discussed at length in the meeting.

- Categories discussed:

- A level – PEI Marathon, Timex, prov, national races

- B level – points races and timed events

- C –level - charity fun runs

- Looking at fees charged at races. For those that are not affiliated with PEIRR they could be charged 50 dollars for the use of our clock and signage, jugs etc. Getting use for free up to now.

- Looking at charging for bibs for those that need one. Janet to look into costs and the executive can decide at next meeting.

- Looking into hiring a staff person in 2015 to do some of the work. Mike is looking at applying. This person would do website work, database work, and mailing items as a possibility. Mike will look into

applying.

Date chosen for the AGM – April 10. Nominations for awards will be posted after the sanctioning documents and race calendar are completed.

Mike contacting Jamie Mutch to help us calculate points for the year.
