November 13, 2014- Minutes RoadRunner Executive

 

Attending: Janet Norman-Bain, Stan Chaisson, Mike Connolly, Suzanne Iwankow , Bethany Lucas.

6:00 pm –Mike called the meeting to order. Welcome and a look at previous minutes from July 24.

President’s report-

 

- Canadian Athletics Canada National Races are again possible for PEI Runners.

- With joining Athletics Canada, we have the opportunity to have provincial road race championship races to help runners qualify for national events.

- Stan Chaisson, Jennifer Nicholson, and Joanne Reid are possssibilities for 2015 nationals.

- Cost for membership with Athletics PEI as well as regular membership fees for PEIRoadrunners have been developed. Runners have an option to join both ( 43 dollars) or just join PEI RRunners ( 20 dollars for indiv.; 30 dollars for family) Adjustments have been made to the fee structure

for 2015.

- Still Looking at a 5K in July and a 10K in August 2015 as qualifying events for next year’s raceschedule and to be part of the Timex series.

- Mike asked the executive if we were interested in hosting a national champion event in 2015. All were in favor.

- Sanctioning document is being developed. Stan Chaisson and Mike Connolly to have this in draft for the next meeting. This initiative will give RR points events a way to be evaluated and leveled for 2015.

- Race clock was damaged this fall, so Mark Bolan will be fixing it at a nominal fee.

- 5K Teacher Trot will be added to next year’s schedule. It was not on the 2014 schedule.

- Confederation Centre held a runner’s clinic in October. Should post this on our website and Facebook page so runners can get the word out to increase attendance.

- Membership numbers: still approx. 360 members in total including honorary members

Treasurer’s Report – Suzanne I.

 

Statement reviewed as of November, 2014:

- balance is $ 3700

- after items to be paid for and regular costs- we should have $1442.77 left at the end of the year.

- Will need to purchase new signs and stakes for 2015

- Gary Craswell gave new water jugs to the club after the Wally Rodd race in early November.

Thanks to Gary for that.

- IT support for Janet: Kirk O’Leary trying to get the two systems working together for database and race data to match up. Cost was 70 dollars.

New Business:

 

- Track suits and hats were discussed; full order to be done for hats. Template ordered for suits only if runners choose to purchase. Mike will have something ready to post on the website for members to

have a look at and possibly order for xmas.

- Christmas party will be free for members only. Dec.13th is the date. Held at The Queen Charlotte Armory. Non-road runners will pay 12 dollars to attend. Fundraiser for Salvations army, 50-50 and draw

prizes for all who attend. Executive were in favor of paying for members.

- Review of checklist for race evaluations; points races- races to date were evaluated:

- ** Discussion regarding adding new points races or replacing existing ones. Ex: Brookvale Ultra is being looked at to add to points. Not sure which distances and how to add.**

-Timex series: may look at money going toward athletes entering nationals. Mike will follow up on this for the next meeting.

- Staff person in 2015 to do some of the tech work. Mike is looking at applying. This person would do website work, database work, and mailing items as a possibility. Mike will look into applying.
