Nov. 23rd, 2015-Minutes RoadRunner Membership

 

Meeting was called to order at 6:30 pm, by Bethany Lucas.

 

Bethany began the meeting by telling everyone she has been part of the Executive for the past 14 years. She gave us a bit of what has been going on:

  • 2 years ago, our key person left

  • Mike Connolly volunteered to come in as president-there was a huge calendar of races

  • After the first year, of being president, things went fairly smoothly with races

  • Athletics Canada wanted a sanctioning document (we wanted our runners safe)

  • Stan worked on the document; revisions were made by the executive (Sask. N. B., N. S. were looked at. We didn’t have one.

  • Rolled out in early 2015-communication was not given clearly-mixed reviews about this

  • Since April, membership has declined and the races were not properly announced-Alex Cyr took care of the summer schedule of races until he went back to school in Sept.

  • Negative publicity by people in our club; we are volunteers, we don’t need negative reviews

  • Because of the negativity, Mike has stepped down from president

  • Everyone agrees that we need to keep our club going, we all want the best

  • We need to move on in a respectful manner and be positive

  • We need support and our club needs dollars

We need suggestions on Sanctioning, Challenges, Funding/Financing, Executive (Roles), Focus ahead, Website

 

We are a non-profit organization.

 

If the president resigns, the executive steps in.

 

Stan:-Races are not being listed as regularly as everyone would like, possibly too many races 70-75

 

Bethany: Time is a factor-20-30 hours a week can be dedicated to running the club efficiently

 

Challenges:

Sherri Gallant-never been approached to volunteer

 

Janet:-Spent 2014 begging to help in getting volunteers-was told that it wasn’t a priority-2014, 74 races, everyone was put on the calendar-dismal for 2$ a head

 

Heather-Saw a post about getting volunteers for the executive

 

Isaac-Defining success as a club-could be a goal, what it looks like

 

Billy-(not a member this year), seems like chaos, seems to be doing too much, should dial it back

 

Rhonda-victim of own success, think about growth, bar was high, what happened

 

Billy-timely results, a calendar

 

Sherri-having a book to write results, sold ads

 

Janet-lost of point races-from 21 to 11, Freeze your Gizzard was a points race but it is not in the data

 

Rhonda-How are point races determined?

 

Bethany-3 years of race running, well-organized

 

Dave Perry-communicate and set expectations, seemed exciting a few years ago,

expectations seem realistic as a challenge

 

Sherri-what does the club get as a member-get value for what we pay-loosing website was a setback

 

Bethany-club keeps going, website, Source for Sports and Proudes discounts, party at Christmas, insurance

 

Frances-Athletic Canada to get funding?

 

Bethany-we are not incorporated

 

Janet-we put in a request with Athletics PE to join up so that we could get funding

 

Kent-Do we need a sanctioning document?

 

Lynn Anne-A level playing field, a bit of a structure, never had a problem with it

 

Janet-safety reasons, maybe we don’t need everyone on the calendar, race directors should have been consulted

 

Brian-A good document, it covers everything,2$ a person may be the issue, is it unrealistic to ask 50$ from race directors

 

Janet-People in the city did not have to submit these

 

Sherri-Who shows up to make sure everything is there to cover the race?

 

Isaac-There are a lot of races, do we need to reduce the number of races, if you become a member then maybe you can volunteer at a race

 

Lynn Anne- Do we stop organizing runs?

 

Billy-Advertise all the races, but expect the race directors to take it over, RoadRunner is a brand

 

Brian-What happens in a race if a runner gets hit in a non-sanctioned race? Insurance to be looked at

 

Tyler-Putting your name on a race, we could be sued if it’s a points race

 

Jamie-taking 2$ as a liability, if not it increases liability

 

Kent-What does Run NS do for insurance

 

Billy-Jones Brown is the insurance provider for triathlon PE

 

Ivan-Insurance necessary to protect executive-covers volunteers, protects the club

 

Sanctioning Document-Race directors 50$; day protection, equipment, promote on website

 

Janet-More than one race should be promoted

 

Jamie-if the mandate is to promote health then we should be able to put on more than one race a weekend

 

Gary-Every race should be advertise, purpose should be to promote running

 

Lynn Anne-We should all be positive

 

Sherri-No calendar-didn’t know about multi races going on

 

Billy-date protection is a non-issue, well-run events will not go away, calendar and results updated are needed

 

Rhonda-Can we make resolutions at the AGM?

 

Christine-2014 calendar was good, have one place to look, not multiple places, communication is a huge part-we could have clothing sell as fundraiser (track suits, tanks, etc.)

 

Ivan-No decisions to be made tonight-everyone was expecting too much from the club-

 

Jamie did it all for years-volunteers should be asked for during the AGM meeting-we need the young people to keep it going-we can’t stop anyone from putting on a run-we are all expecting too much from the club-communication was lacking concerning the sanctioning document

 

What are our priorities going forward?

  • Updated website with a full calendar and results

  • Monitoring

  • Insurance

  • Sub Committees

  • Access to equipment

  • Clothing sales to fundraise

  • Communication/Public meetings

  • Meeting with Race Directors

  •  

Bethany-Is the sanctioning document staying? 50$ fee acceptable

 

Janet-Race directors should decide on the fee. 600$ in donations

 

Brian-50$ is reasonable

 

Jamie-Good will from the community, raising money for charity

 

Isaac-I hear lots of good things from the community about the club-my family participated

 

Peter Meggs-50$ flat fee is better than 2$ a head per runner

 

Bethany-We will have a meeting with directors to discuss the document

 

Kent-Is there a follow-up meeting regarding points?-forget 2015 and let’s move forward-communicate with everyone

 

Billy-Feedback to executive is to move forward-try to forget about the past-how to build RoadRunner again-Focus on 3 things-keep it simple-start with a blank page

 

Maureen Peters-Explain the reasons/rationale behind the document

 

Janet-944$ in sanctioning fees-not everyone has paid up

 

Francis-Have a general meeting in January

 

Brian-Update on website from tonight

 

Peter-Flat fee may want to attract point races-Cornwall wants to be a points race

 

Heather-Think about why we came here tonight-volunteer-go to races

 

Barb-Club needs to look after finances-sub committees-Let’s thank the executive

 

Ivan-Talk to other people about our club
